About the Position

Airlabs is looking for an experienced HR and Office Coordinator to support our R&D center in Copenhagen. The ideal candidate is highly organized and a quick learner, energized to make a significant contribution to a company striving to create clean air for people in cities around the world. This position reports to the global HR Manager and works closely with the Chief Financial Officer.

 

Responsibilities include but are not limited to:

HUMAN RESOURCES:

  • Maintaining current HR files and databases including preparing new employee files, updating employment status in database, ensuring all data is documented and accurate;

  • Drafting and executing employment agreements with guidance from legal counsel;

  • Posting open positions and assisting with recruiting efforts;

  • Processing payroll, including accurate reporting of employee expenses, vacation, leave, and variable hours, and liaising with payroll provider to ensure all monthly payroll data is accurate;

  • Coordinating activities and payments through virk.dk and applicable national employment programs; and

  • Onboarding new employees to the organization.

OFFICE ADMINISTRATION:

  • Coordinating office activities and operations to ensure efficient operation of office and workshop;

  • Working with the Head of Supply Chain Management on maintaining appropriate inventories of supplies and equipment for general office and lab operations;

  • Arranging courier shipments including preparing and scheduling of outgoing parcels and associated documentation;

  • Booking travel for senior management, visitors and new hires/candidates as needed;

  • Supporting the finance function in maintaining accurate records and ensuring effective flow of information and documents;

  • Setting up and maintaining users on Company systems;

  • Serving as the liaison between the Company and office building management;

  • Ad-hoc tasks as required

 

Requirements for the role include but are not limited to:

  • Demonstrated experience (minimum 2 years) as an HR assistant, office administrator or relevant role (ideally in Denmark)

  • Knowledge of Danish employment law

  • Bachelor degree or equivalent is required

    • BSc/BA in Business Administration, Management or Human Resources is preferred

    • Experience may be substituted for educational requirement

  • Excellent command of written and spoken English and Danish

  • Familiarity with BambooHR, or other HR information systems, and Google/GSuite is a plus

  • Excellent teamwork skills and the ability to maintain the confidentiality of sensitive employee issues

 

Hours of work

This is a part-time role of roughly 20 hours per week. The position requires presence in the Copenhagen office for a pre-approved schedule agreeable to the candidate and the Company.
