About the Job
We are looking for an experienced Office Manager, who will be responsible for a wide range of administrative and operational tasks. The Office Manager will organize and coordinate office administration and procedures in order to ensure organizational effectiveness, efficiency, and safety. The Office Manager is responsible for developing intra-office communications, streamlining administrative procedures, inventory control, staff guidance, and task delegation, and is an integral part of our operations team, which includes Finance, HR, and Quality Assurance.
We need an energetic professional who doesn't mind wearing multiple hats. Someone who is confident in handling a wide range of administrative and executive support related tasks and can work independently with little or no supervision. Our Office Manager needs to be organized, flexible, and enjoy the administrative challenges and demands of supporting a team of diverse people.
Scope
Administrative Assistance
- Ensure the efficiency of day-to-day operations on behalf of all management and staff.
- Arrange for meetings internally and externally. Responsibilities can vary from meeting room set-up and ordering of lunch, to a full end-to-end planning of meetings over several days including meals, transportation, store visits, and evening arrangements.
- Serve as the main point of contact for BluSense – by answering and screening phone calls, emails, and meeting and leading guests to meeting rooms.
- Maintain efficient levels of office consumables (e.g. stationery, printer supplies, fruits, snacks, etc.)
- Process travel reimbursements.
- Grant-related employee time-sheet administration.
HR Support
- Arrange birthday and anniversary celebrations as per company policy.
- Run various reports supporting HR in ad hoc and regular queries.
- Support HR in employee related queries and in the initial recruitment phase.
- Organize induction programs and training schedules for new employees.
- Assist the organization’s HR function by keeping personnel records up to date, such as our Holiday List.
Facilities Support
- Secure and maintain a spotless office environment.
- Retain relationships with our service providers and external partners, including our travel agency and cleaning company.
- Serve as the liaison between BluSense and Symbion – printing, picking up and shipping parcels, collecting mail and deliveries, issuing keys and tokens for new employees.

- Excellent written and verbal communication skills, preferably some Danish proficiency.
- Expert in Outlook, PowerPoint, Word, and Excel.
- Proven track record of office management responsibilities, systems, and procedures.
