As the People and Office Lead, you will make sure that our Copenhagen office is running smoothly and our team is feeling great. As this position is based in Copenhagen, you will be the local eyes and ears of our People Team, which is based in Brussels performing a daily mix of people and operational tasks. Working behind the scenes, you are basically a ninja in the shadows, without whom nothing happens as per your ninja planning skills. You always care about people’s needs and are ready to help anyone at any time.
Your role as a People and Office Lead will be far from one-dimensional. You will undertake a wide range of tasks: managing the office, administration jobs, ordering IT materials and small furniture, helping in events organisation, etc, You will also act as the main point of contact for employees’ queries on HR-related topics. More specifically, your role includes 5 main aspects:
Office Management
You will be the person of contact for maintenance, mailing, shopping, supplies, equipment, bills, and errands. It is your role to order all supplies (catering, furniture, etc.).
It is your responsibility to manage our mobile phone operators (including activating new accounts, managing employees’ questions). As we are currently subletting parts of our office, you will have to manage leases and deals with our landlord.
IT Hardware Management
You will have to order the IT materials for various office branches and manage our IT devices by maintaining the inventory.
People
First, you will work closely with the person-in-charge of the onboarding process to make sure the onboarding process is up and running smoothly. You will welcome new employees properly by preparing their welcome pack and introducing them to their buddies.
You will also be our people’s go-to person in our office. With the help of your manager, you will answer people's questions regarding HR topics.
Finally, when a person is leaving the company you will make sure that the offboarding takes place in the best conditions—make sure the termination contract is signed and filed and any hardware (computer, mobile, tablet, keys, etc.) used by the employee is returned.
Administration
We are looking for an incredible team player who will be there to support colleagues in their administrative challenges, support colleagues in booking hotels and travels when needed, ad hoc admin work and support for the Finance People and Business Services team, etc.
Event
You will initiate and facilitate local weekly and monthly events and also plan and manage company events, like team camps and annual gatherings.
